Director of Customer Service Summary/Objective The Customer Service Representative is responsible for providing effective customer service to the public as well as communicating effectively with all departments, team members, and volunteers.
Essential Functions The following duties and responsibilities are essential to this position:
Work side-by-side with staff to ensure performance standards and department objectives are met.
Ensure opening/closing duties are completed and maintain assigned area in a clean, organized, and professional manner.
Process various shelter forms and reports in a timely and accurate manner.
Review customer completed forms for thoroughness and assess the need for further clarification.
Maintain binders and file completed forms in appropriate locations.
Greet, direct, and assist all incoming visitors in a courteous and helpful manner.
Provide guidance and answer questions regarding shelter policy, procedures, and applicable reports/forms in a positive, courteous, truthful, and tactful manner.
Ensure the public is provided superior guest relations.
Data entry to maintain up-to-date person and animal records.
Answer telephones, respond to voicemail messages, transfer calls appropriately, and page personnel as needed.
Respond via email to various customer inquiries.
Communicate effectively and professionally with co-workers, management, and the public at all times.
Establish positive relationships with the general public, volunteers, and staff while promoting RCHS's programs, policies, and philosophies.
Responsibly promote principles which demonstrate an understanding of the policies and procedures of RCHS.
Ensure cash handling, credit cards, and in-kind donations are processed appropriately.
Attend in-service training, staff, and volunteer meetings as needed.
Operation of various types of office equipment, including computer, copier/scanner, and register.
Wear clean, appropriate uniform, and name tag at all times during business hours.
Regularly assist other departments as needed.
Acquire general knowledge of companion animals including:
breeds, colors, behaviors, appropriate care and housing, common health problems, and health needs.
WHO WE ARE LOOKING FOR:
We are seeking to fill a part-time customer service position (21-28 hours per week).
This person should be able to work both independently and as part of a team while being positioned at the front desk.
You must be able to learn quickly and pay attention to detail while maintaining the public face of our organization.
The ideal candidate must have a can-do attitude and willingness to assist wherever needed.
Rancho Coastal Humane Society is a non-profit organization where many of the staff members perform numerous cross-over duties.
KEY DUTIES/
Responsibilities:
Greet and interact with the general public in a friendly, professional, and respectful manner Provide clear and helpful information to callers while handling heavy phone traffic Maintain complete and up-to-date animal and customer records in Shelter Buddy database Complete transactions on a register processing cash and credit cards Administrative tasks, including maintaining files, binders, responding to emails, and data entry Communicate effectively with supervisors, other staff members, and shelter volunteers Follow directions and established standards of operation QUALIFICATIONS - EDUCATION, SKILL, EXPERIENCE High school graduate (some college preferred) Experience with customer service (minimum 2 years) Ability to work with computers Ability to multi-task in a fast-paced environment No known allergies to animals or chemicals Valid California driver's license Ability to work flexible hours, including weekends, between the hours of 8:
